Free Whatnot profit and loss template for Excel and Sheets

A six-tab spreadsheet built on the report's own columns: paste the weekly file, add lot costs, read show profit and net. Free, no signup.

Download it

One file, free, no signup: an .xlsx that opens in Excel and imports cleanly into Google Sheets, built around the Weekly Order Report's documented 36-column layout as of August 2026. Paste your weekly file in, add what your lots cost, and the tracker turns the platform's numbers into show profit and net profit.

What is inside the template

Six tabs, plain SUMIFS formulas you can read and audit, no macros.

  • Start here: the instructions, a legend of which cells are yours, and the three traps the file already handles.
  • Report paste: the report's 36 columns in their documented order, plus one Lot column you type to tie each sale to a purchase lot.
  • Shows: type a show name and read its show profit with the fees, giveaway shipping, tips and refunds broken out.
  • Lots: each purchase lot's cost against its sales, with a recovered or to-breakeven status.
  • Other costs and Dashboard: supplies and subscriptions on one tab, and the whole picture, payout, costs and net profit, on the other.

How it works

Every total sums the report's own Transaction Amount column, so refunds net out by construction: a refund arrives as a second row sharing the sale's order id, and summing handles it without you noticing. Giveaway costs are read from the Shipping Fee column the way the file actually carries them, and the fees are your real fees from your real sales, never an estimate. Every formula was machine-checked against a worked example before this page went live. If you have not met the report yet, start with the report guide; if you want to understand the formulas, the Excel walkthrough builds the same logic by hand.

Taking the Lots tab down to a per-sale share of each cost is the next step beyond this file, and the rule for it is worked in how to split a lot's cost across Whatnot sales.

The honest limits

The template asks you to do two things by hand, every week: paste the new report under the old one, and type a lot name against each sale. That is the whole manual road, and at one or two shows a week it is minutes, not an evening. The Dashboard also tells you the truth about itself: net profit is only honest once every lot that sold has its cost entered, because a net computed over a missing cost is a guess.

Template sellers charge real money for spreadsheets like this one. Ours is free because the spreadsheet is not the business: BreakCount is what replaces it when the weekly ritual stops being fun, and how to track your profit on Whatnot compares the two honestly.

When the spreadsheet is not enough

BreakCount does everything this file does without the pasting and the typing: import the same weekly report, add one cost per purchase lot, and it allocates costs across the lot's sales, reconciles every fee, and gives each show a verdict with its real net profit. When a cost is missing it waits instead of guessing.
